Why this now
Locations are the second master-data pillar (after people). It’s a master-data choice with direct user impact: room names appear in Outlook, on kiosks, in mobile apps and in reports. Wrong modelling = every user reminded of your ad-hoc choices every day.

One readable and searchable spelling (language, capitals, prefixes).

Who is responsible per building or zone for incidents and occupancy?
Key questions
- 1Which geographic layers do you really need — country, region, campus, building — or can you work flatter?
- 2Which buildings, floors and zones are in scope? Fully or selectively?
- 3Which room types do you distinguish (meeting room, focus room, desk, project room, phone booth, parking, locker)? Match existing terminology in the organisation.
- 4Bookability — only meeting rooms, also desks, also phone booths? With or without check-in?
- 5Capacity and facilities — which metadata do you record per room? (Seats, video, screen, whiteboard, accessibility.)
- 6Naming convention — building prefix, floor as number or letter, language? E.g.

- 8Ownership per building/zone — who receives incident tickets, who authorises changes, who reports occupancy?

- 10Special categories — parking spaces, EV chargers, lockers, bike racks, reception points — include or out of scope?
