Room Signages
Tablets at meeting rooms that show availability, let you book or extend on the spot, and sync with Outlook, Google and Gfacility.

Room Signages are the tablets at each meeting room that show at a glance whether a space is free, reserved, or about to start. They close the loop between calendar software (Outlook, Google) and Gfacility — booking is possible through any channel, the signage always shows the current status.
Why this matters to the business
"Empty rooms stay reserved"
Auto-release — if nobody checks in within X minutes the room is automatically freed.
"Hallway arguments about who booked"
Organizer's name + meeting title visible — no more guessing.
"Need 30 minutes ad-hoc"
Book or extend on the spot up to a maximum duration (configurable per device, max 180 min).
"Branding is missing on devices"
Own colours, background image and logo — recognisable on every floor.
Per-device settings
| Field | What it controls |
|---|---|
| Name | Recognisable label for the device (internal). Not shown on screen. |
| Serial number | Unique number that appears after app installation — links device to the portal. |
| Room | Which meeting room this device represents. |
| Max duration | Maximum duration of a meeting booked or extended on the spot (max 180 minutes). |
| Allow extension | May a running reservation be extended? Always within max duration and availability. |
| Language | UI language of the signage. |
| Colours · background | Per-device branding. Transparency determines how strongly the theme colour overlays the image. |
Overarching settings
Alongside per-device config there are central settings that apply to all signages:
Status colours
Available · upcoming (within 10 min) · busy — three colours that follow your brand.
Auto-release
Number of minutes after which a no-show is automatically released — prevents phantom bookings.
Logo
Company logo that appears in the calendar view on all devices.
Kiosk mode + MDM
Locks the device to the app. Managed by Gfacility or via your own MDM.
Compatibility & activation
Works on Android 8+, iOS 10+ and as a PWA via room-signage.gfacility.com. Activation follows the same pattern as Visitor Kiosks: install app → serial number → link in portal.
Which decisions will you make?
Which rooms get a signage?
Meeting rooms yes, quiet work spaces usually not — cost/benefit per type.
Allow extension?
Yes in informal teams, no if you keep tight scheduling around meetings.
Which auto-release time?
10-15 min is standard. Shorter is stricter but irritates people who start late.
Central or per-device branding?
Central enforces consistency. Per-device is handy for multi-tenant buildings.
Its own settings screen
Room signages has a second screen next to the list, Settings, holding what every signage shares: the colour for free, the colour for an upcoming booking, the colour for occupied, the logo, and how many minutes an unclaimed booking waits before the room is released again. Set it once here rather than per device.
