Booking types in Gfacility

The three booking types in Gfacility — Combi, Outlook-only, and Gfacility-only — and when to use each when creating a booking from the planning board.

There are three different booking types, one of which must be chosen when creating a booking via the Planning Board. The different methods are described below.

1. A Combi booking

This is the main method for making a booking, in which both an Outlook and a Gfacility booking are created. The booking therefore contains both an Outlook room booking and visitors, catering, and/or services.

Use: Standard method.

2. An Outlook booking

This booking consists only of an Outlook booking (room).

Explanation: Outlook bookings can be consulted via the planning board. However, there is no catering, services, or visitors registered in Gfacility. There is therefore no Gfacility booking and the booking is not visible in the events list. An Outlook booking can still be converted to a combi booking later.

Use: Only use when further follow-up via Gfacility is not required.

Tip!

When an end user reserves a room via Outlook without using the add-on, this arrives as an Outlook booking.

3. A Gfacility booking

This booking consists only of a Gfacility booking (visit & services).

Gfacility bookings can be consulted via both the planning board and the bookings list. Note, although a location is entered, no actual room booking (Outlook booking) is made. The room is therefore not booked. A Gfacility booking can still be converted to a combi booking later.

Use: Only use when an actual room booking is not required.
