Before you can add services, catering, or visitors, you first need to create a meeting. Creating a meeting in the planning board is done as follows:
Click on the date and select the desired date.
Find the room in the overview and select the desired time slot in the overview.
A sidebar now opens. Complete the meeting details.
Click on Book meeting.
Booking type
When you create a booking via the planning board, it is created as a combi-event by default (link icon).
This means the room you choose is actually booked in Outlook. Want to only reserve a room? Then click the Microsoft icon. If you only want to book visitors, catering, or services, then use the Gfacility icon. The room is then only informational and is not actually booked. More information on the different booking types is available here.
Adding visitors, services, and catering
After saving, a number of tabs appear in which visitors, services, and catering can be added.
Click the desired tab to add data.
Can I add services to a booking that someone made via Outlook?
When someone has booked a room via the planning board, this appears as a Microsoft booking in the planning board. If you then want to add services, catering, or visitors to it, convert the Microsoft booking to a combi-booking. Fill in the host and save it.
After saving, the tabs appear where you can add catering, visitors, and services.
