With GoBright and with Gfacility you book a room, a desk or a visitor from Outlook, Google Workspace or an app, with a screen at the door and a kiosk in the lobby. Both run in the EU and both are ISO 27001 certified. The difference is what happens after the booking. With GoBright it stops at the booking. Gfacility is one system for all of it: the coffee reaches the kitchen on time, the broken screen becomes a ticket someone picks up, the room is cleaned once the meeting ends, your assets live in there and you can see what your lunch costs in CO2, with AI doing the routine work for you. One portal for your people, one licence, no second tool for tickets or asset management. Live in weeks, one price per employee, no surprises later.
Both of them can do the booking. These are the four advantages you only get with Gfacility, without a second system and a second licence alongside it.
All in one: one portal, one licence
Booking, reporting a broken screen, planning maintenance, managing assets and finding answers in the knowledge base: one portal for your people, for IT, facility and HR. One sign-in, one overview, one licence.
GoBright is a meeting management tool. Tickets, maintenance and asset management need separate tools and separate licences, with integrations in between.
Endlessly flexible, without a custom project
Booking rules per room, cost allocation, forms, approval per location, workflows, automations and dashboards are all yours to set up, shaped exactly around the way your organisation works. With several countries or caterers, everyone sees only their own part.
GoBright works with fixed settings per room, desk and screen profile.
The system works for you
Change a room layout and the facility team gets a task automatically. If someone looks like they will not turn up, Gfacility flags it in advance; if the room stays empty, the room and the catering are both released and the headcount follows the calendar. A poor rating becomes a ticket for the service desk by itself. AI answers questions and finishes the routine work.
GoBright sends notifications, reminders and a confirmation prompt.
Sustainable choices made easy
For every sandwich or lunch you see the CO2, the water use and an eco-score. The catering can be sorted by CO2 impact so the sustainable options come first, and you report on CO2, consumption and waste.
GoBright measures whether a room is occupied, not what gets consumed.
Question by question: what do you handle with Gfacility, and what with GoBright?

Booking
Can you book rooms, desks and visitors from Outlook or Google? Both do this equally well
Yes. From Outlook, Google Calendar, Teams, the app or the screen at the door, with a floor map for desks.
Yes. From Outlook, Google Calendar, a full Teams app, the app or the panel, with a floor map for desks.
Can you steer who books which room, and how well rooms get used?Gfacility makes the difference
Yes. Detailed booking rules per room (who may, who may not, how far ahead, with which approval), detailed rules for cost allocation, optimisation based on who has accepted in Outlook (who works from home and who is in the office), and sorting options that encourage better room use.
Partly. Booking rights, approval, buffer time and meeting types per room; you pick the cost centre while booking.
What happens when someone does not turn up?Gfacility makes the difference
Yes, and more. Gfacility tries to spot it before it is too late: it asks for confirmation up front and adjusts the headcount automatically to the calendar responses (joining from home or in person). If nobody checks in, the room and the catering are both released automatically. You can see who stays away often.
Yes. Check-in through the panel, the app, an NFC sticker or a sensor, the sensor releases a room when nobody is there, and a confirmation can be requested the day before.
Can visitors register in advance and check themselves in?Both do this equally well
Yes. Pre-registration, check-in with a QR code, a printed badge, the host gets a message through Teams, Google Chat or e-mail, and visitor data is cleared out automatically under your own rules. Included in every plan.
Yes. Pre-registration, kiosk, a printed badge, the host gets a message by e-mail, app or SMS, plus an emergency list for the fire wardens and an access-control integration (Synguard). Licensed per reception location.
Can you book parking spaces and lockers as well? Both do this equally well
Yes. A parking module for booking parking spaces, and a mail to the visitor beforehand in which they enter their own licence plate, after which a parking space is reserved automatically. Lockers through an integration with your locker system.
Yes. Its own parking module with zones and profiles, from Outlook and Teams as well; lockers through the Vecos integration.
Does it work with screens, kiosks and badge printers? Both do this equally well
Yes. Screens at the room door, visitor kiosks, floor kiosks and badge printers. The apps run on tablets and screens of any brand, including the ones you already own.
Yes. Its own Interact, Connect and Glow devices, sensors, and certified room panels from Crestron, Philips and LG among others.
What happens after the booking
How many systems and licences do you need?Gfacility makes the difference
One. Bookings, tickets, maintenance, asset management and the knowledge base sit in one system on one licence, with one portal for employees, IT, facility and HR.
Several. GoBright does the bookings; for tickets you need a second tool (TOPdesk, for example) and for asset management a third, each with its own licence and integrations in between.
Can you report a broken screen and get it fixed in the same system?Gfacility makes the difference
Yes. One tap on the screen at the door becomes a ticket with an agreed resolution time, and the technical team sees it through in the same system. Visitors can report an issue and use the knowledge base too.
Partly. You report a problem in the room from the panel or in the app; that reaches a department as an e-mail. For follow-up with resolution times you connect a service desk such as TOPdesk.
Can the service desk move a meeting to another room when it has to?Gfacility makes the difference
Yes. The service desk has the rights to swap rooms whenever that is needed, and the user's calendar is updated automatically.
Limited. Administrators can book on behalf of others; a room swap by the service desk that reaches the user's calendar automatically is not something we found in the documentation.
Is the maintenance of rooms, equipment and assets part of it?Gfacility makes the difference
Yes. Screens, coffee machines, rooms and other assets sit in one register with a maintenance schedule, work orders and a history per object.
No. A room can be set to maintenance, but there is no maintenance planning, no work order and no asset management.
Does the catering order reach the right place?Gfacility makes the difference
Yes. Detailed rules for who may order what, by when and with which cancellation terms, with automatic cost allocation. The caterer works from one clear work queue, and with several locations the overviews are kept sensibly apart.
Yes. Ordered with the booking, from Outlook and the app as well, and the order moves along when the meeting shifts. The supplier receives the order by e-mail, with a cost centre and approval.
Can employees find answers on their own?Gfacility makes the difference
Yes. A knowledge base with answers to the questions people ask most, and an AI assistant that answers from it and cites its sources.
No. GoBright has no knowledge base for employees.
Set up around your organisation
Can you adapt it to your own processes yourself?Gfacility makes the difference
Yes, unlimited. Forms, fields, booking rules, approval per department and location, workflows, automations and dashboards are all yours to set up, without a custom project.
Limited. Settings per room, desk and screen profile; beyond that the functionality is fixed.
Several countries, entities or caterers: does everyone see only their own part?Gfacility makes the difference
Yes. Every location, entity or caterer sees only its own bookings, orders and reports, while you keep the whole picture.
Partly. Administrators and power users per location, and a service catalogue per location.
Can the system take action by itself?Gfacility makes the difference
Yes. You set the rule and the system does the rest: a task when a room layout changes, a mail when something is approved, a ticket for the service desk when a rating is poor, a complete offboarding process.
Limited. Notifications, reminders and a confirmation prompt per room or desk profile; no rules of your own that create tasks or tickets.
Does AI help you with questions and routine work?Gfacility makes the difference
Yes. An assistant answers questions and takes requests, and AI finishes routine jobs within the limits you set. Processed in the EU.
Partly. A booking assistant in Microsoft Teams ("book me a desk tomorrow at 9") and AI forecasting of occupancy.
Does the system handle your GDPR retention periods?Gfacility makes the difference
Yes. Per type of data you set when it is anonymised or deleted; that then happens automatically, with a log of what was done. For visitors, bookings, tickets and conversations.
Partly. You set a retention period for visitor data.
Sustainability and insight
Can you see what your catering costs the environment?Gfacility makes the difference
Yes. CO2, water use and an eco-score per product, labels for local, seasonal, vegetarian and vegan, sorting by CO2 impact so the sustainable options come first, and reporting on CO2, consumption and waste over time.
Different. GoBright measures occupancy with sensors and cuts the power at empty desks with the Power Control Plug; it does not measure what gets consumed.
Do you see everything in one report?Gfacility makes the difference
Yes. Bookings, desks, visitors, catering, CO2, tickets, maintenance and assets in one dashboard, comparable per location and team. Works with Power BI too.
Partly. Occupancy, most-booked rooms and no-shows, built on sensor data; forecasting through Advanced Analytics as a paid extra. Works with Power BI too.
Integrations, security and cost
Does it connect to your other systems?
Yes. An open, documented API, webhooks, Power BI, and Microsoft 365 as well as Google Workspace in full; integrations with HR and finance.
Yes. Ready-made with TOPdesk, Vecos, Synguard and SCIM, deeply embedded in Microsoft (Teams, Places), and a broad ecosystem of certified hardware.
Where is your data held, and how safe is it?
In the EU. ISO 27001, GDPR-compliant and AI Act-ready; the AI processes in the EU as well.
EU or UK. Your choice, on Microsoft Azure, ISO 27001 plus ISO 9001 and 14001.
What do you pay?
One price. Per employee, everything included, one licence for the whole platform: an extra room, desk, screen or reception desk costs nothing on top. No surprises later.
Per item. Per room, desk, parking space, screen and reception location per year, plus paid extras (Week Planner, Wayfinding, Advanced Analytics) and hardware. Tickets and asset management come from other tools with their own licences.
How do you go live?
Directly with Gfacility, in weeks: one dedicated contact, your existing calendars as the basis and aftercare once you are live.
Through a certified partner, who installs the hardware as well.
They can both do the booking. The difference starts after that.
Booking a room from Outlook, picking a desk on the floor map, pre-registering a visitor who checks in with a QR code, ordering catering with the meeting, a screen at the door and a kiosk in the lobby: GoBright and Gfacility both do all of it, both connected to Microsoft 365 and Google Workspace, with data in the EU and an ISO 27001 certificate. Tick off that list alone and a demo will show you very little daylight between them. The difference starts behind that front door. GoBright was built to book. Gfacility was built for everything a booking sets in motion: in the kitchen, at the technical team, at the caterer and in your sustainability report.
Everything a booking sets in motion, in one system on one licence
A booking is rarely the end of the work. The catering order has to reach the kitchen, the flipchart has to be ready, the screen that failed during the meeting has to be repaired, the room has to be cleaned after a different layout. In Gfacility all of that sits in the same system: the kitchen works from one list, the broken screen is reported with one tap on the screen at the door and becomes a ticket with an agreed resolution time, cleaning gets a task, and the screen itself is in the maintenance schedule. That is how PwC Netherlands runs more than 2,500 meetings a month across all its sites, with full control over how the meeting rooms are used. GoBright is a meeting management tool: a problem in the room is e-mailed to a department, and for tickets, maintenance and asset management you need separate tools, each with its own licence and integrations in between. Gfacility is the complete suite: one portal for your people, for IT, facility and HR, asset management included, on one licence. Visitors can report an issue there and use the knowledge base too, and the service desk can move a meeting to another room when it has to, after which the user's calendar is updated automatically.
Endlessly flexible, shaped exactly to your processes
Both systems let you set opening hours, buffer time and approvals. Gfacility goes a great deal further, and you set it up yourself, without a custom project. The booking form adapts to whoever is booking: a receptionist, a project lead and a facility manager see different fields and different mandatory questions. Per room you decide who may book and who may not, how far ahead and at which hours, and the rules for cost allocation are just as detailed: the cost centre is filled in automatically from who books or from where, and only someone entitled to do so can change it. Rooms get used better through optimisation on who has accepted in Outlook (who works from home and who is in the office) and through sorting options that put the best-fitting room first. Approval can run differently per location. Working with several sites, countries, entities or caterers? Then each party sees only its own bookings, orders and reports, while you keep the whole picture. That is why municipalities such as 's-Hertogenbosch, shared service centres and multi-tenant buildings pick a platform rather than a booking tool.
The system works for you
GoBright notifies well: a no-show mail, a confirmation prompt the day before, an assistant in Teams that books a desk on request. Gfacility goes a step further and lets the system act, exactly the way your processes run. Change a room layout and the facility team gets a task automatically. Approval can run differently per location. A note is added, a mail is sent or a field is updated, all on its own. When someone leaves a poor rating, a ticket for the service desk appears by itself. When someone does not turn up, the room and the catering are both released and the headcount follows the calendar responses. A complete offboarding process across IT and facility is something you set up once and it runs by itself from then on. On top of that the AI assistant answers questions and takes requests, and AI finishes routine jobs within the limits you set, processed in the EU. Forecasts tell you what is going to happen; Gfacility makes sure something actually does.
Sustainable choices made easy
Catering weighs heavily in an office's CO2 footprint, and that is exactly where a booking tool measures nothing. In Gfacility you see the CO2 emissions, the water use and an eco-score per product, plus whether it is local, seasonal, vegetarian or vegan. You sort the catering by CO2 impact so the sustainable options come first: local products, products with a better eco-score, vegetarian alternatives. That steers behaviour without banning anything. The reporting then shows you over a longer period what is consumed, what it costs in CO2 and what goes to waste, so you can follow the trend and put it next to your BREEAM or CSRD reporting. GoBright's sustainability story runs through hardware: measuring occupancy and cutting the power to desks nobody is sitting at. Useful, but it says nothing about what gets consumed.
What you pay, and how quickly you are live
GoBright charges per room, per desk, per parking space, per screen and per reception location per year, with Week Planner, Wayfinding and Advanced Analytics as paid extras and hardware on top. Alongside that you still need a second and a third tool for tickets and asset management, each with its own licence. Gfacility charges one price per employee for the whole platform, everything included: an extra room, kiosk or reception desk does not change the invoice, and tickets, work orders, maintenance, asset management and the sustainability reporting are simply part of it. One licence, no surprises later. Going live takes weeks, not months: one dedicated contact, your existing calendars in Microsoft 365 or Google Workspace as the basis, and aftercare once you are live.
Moving from GoBright to Gfacility
Both systems work with the same resource calendars in Microsoft 365 or Google Workspace, so your bookings already sit where Gfacility reads them. We set up rooms, desks and floor maps from those calendars, load in your visitor and catering data, and reuse your existing tablets and kiosks.
Typical cutover: 7-14 working days from kick-off to aftercare.
#1
Week 1 - Inventory and rooms
We translate your GoBright locations, room and desk settings, meeting types and catering range into Gfacility, including the sustainability details per product. Microsoft 365 or Google Workspace is connected and the resource calendars fill in the rooms and desks.
#2
Week 1-2 - Rules, screens and automations
Drawing floor maps, setting booking rules and approval per department and location, linking cost centres. Installing the Gfacility apps on your existing tablets, and replacing the GoBright notifications with automations that create tickets and tasks as well.
#3
Week 2 - Cutover and aftercare
Switching over sign-in, the Outlook add-in and the Google Calendar extension, turning off the GoBright links, and a week of aftercare with your dedicated contact.
Frequently asked
Is Gfacility a real alternative to GoBright?
Yes. Rooms, desks, visitors and catering are just as easy to book in Gfacility from Outlook or Google, with the screens and kiosks alongside. On top of that you get the tickets, work orders, maintenance, asset management, knowledge base, automation, AI and sustainability reporting that GoBright does not have, in one portal on one licence, for one price per employee.
How does Gfacility help with our sustainability goals?
For every catering product you see the CO2, the water use, the eco-score and whether it is local, seasonal, vegetarian or vegan. Sustainable choices go to the top of the list, and the reporting tracks consumption and CO2 impact over time. Bookings and check-ins also show you which rooms and floors you really use.
We work with several sites, countries or caterers. Can everyone see only their own data?
Yes. You decide per location, department or caterer who sees what and who may do what. Each party works with its own bookings, orders and reports, and you keep the whole picture. That is exactly how organisations with several countries or caterers use Gfacility.
Can we book parking spaces and lockers as well?
Yes. Gfacility has a parking module for booking parking spaces. You can also switch on a mail to visitors beforehand in which they enter their own licence plate, after which a space is reserved for them automatically. We connect lockers to your existing locker system. GoBright has its own parking module and a Vecos integration.
Which screens and hardware come with it, and can we keep our GoBright hardware?
Gfacility supplies screens at the room door, visitor kiosks, floor kiosks and badge printers, and at the desk the Zens Smart PuK with a light ring and wireless charging. The apps run on tablets and screens of any brand, so you simply reuse existing tablets and room panels. GoBright's own Interact, Connect and Glow devices and its sensors only work with GoBright.
How do I see whether rooms and desks are really being used?
Through bookings, check-in on the screen at the room and with a QR code at the desk, and automatic release when nobody checks in. Data from your wifi or access system can be added. That gives you utilisation, no-shows and peak hours per room, floor and team, without extra equipment in every room. In fairness: GoBright measures this with sensors and wifi, and is more precise at it.
We also want narrowcasting on screens around the building. Is that possible?
Gfacility is not a narrowcasting product: the screens at the room door and in the lobby show bookings, visitors and the way to the meeting. For company news on large screens you combine Gfacility with your existing narrowcasting solution; the screens themselves do not have to be replaced. GoBright has its own module for this, GoBright View.
Is Gfacility cheaper than GoBright?
GoBright charges per room, desk, parking space, screen and reception location, plus extras and hardware. Gfacility charges one price per employee with everything included. If you want tickets, work orders, maintenance or sustainability reporting alongside the booking, one system is almost always cheaper than a booking tool plus a service desk plus the integration between them.
Where is our data held?
With both of them, in the EU. Gfacility hosts in the EU, is ISO 27001 certified, GDPR-compliant and AI Act-ready, and the AI processes your data in the EU as well. GoBright hosts on Microsoft Azure in a datacentre in the EU or the UK and is ISO 27001 certified, alongside ISO 9001 and 14001.
Bring one real situation, a meeting with catering, a broken screen in a room, a visitor at reception, and in a 30-minute call we will show you how it runs from start to finish on your own Microsoft 365 or Google Workspace calendars.
