Target

This privacy policy has been created to better inform users who are concerned about the use of their 'Personal Data'. Please read this privacy policy carefully to get a clear understanding of how we collect, use, protect or otherwise process your Personal Data. Your privacy is important to Gfacility. Therefore, Gfacility always acts in accordance with the provisions of the General Data Protection Regulation (GDPR) when processing personal data.
In this privacy policy, "Gfacility", "us", "our" and "we" refer to Gfacility. "Websites" means Gfacility's websites (including any successor URLs, mobile or localised versions and related domains and subdomains). The term "Services" includes Gfacility's products, applications (such as 'Gfacility - FMS for Office 365', 'Gfacility - FMS for G Suite' and 'Gfacility') and services, irrespective of the format in which they are offered now or in the future. The Websites and Services are hereinafter collectively referred to as the "Offers".
By using our Websites and Services, you confirm that you have read and understand this privacy policy.

Domain

Gfacility has two different types of users, depending on the Gfacility products used. Below you can see which user you are:

1.Website visitors

Individuals who visit the Websites without using Gfacility's services are referred to as "Website Visitors". Website visitors may be free users or subscribers seeking more information about Gfacility. Gfacility is the data controller for the information collected about Website visitors through the Website.

2.Subscribers

Persons using the Services as part of a paid subscription package are referred to as "Subscribers". The functions and capabilities of the Services for Subscribers are determined by the specific terms and conditions agreed in a separate agreement between Gfacility and the organisation (e.g. your employer or other entity, hereinafter the "Customer") that controls access to the Service (the "Customer Agreement"). The Customer is the data controller for the information collected through the Services, while Gfacility treats such information as a data processor.

If you are a Subscriber, the Customer Agreement governs the collection and processing of your data within the Customer's environment (the "Workspace"). In case of conflicts between this privacy policy and the Customer Agreement, the Customer Agreement shall prevail. For questions about privacy settings within your Workspace, please contact the Customer whose Workspace you are using.

Security

Gfacility has taken commercially reasonable precautions to protect the websites and applications it hosts, as well as the information it collects, from loss, misuse and unauthorised access, disclosure, alteration and destruction. Please note that no security measure is completely foolproof. Access to Gfacility applications is through G Suite/Office 365 accounts. Gfacility is not liable for loss of passwords due to user negligence. If you lose access to your Google or Office 365 account, you may also lose control of your personal data.

Data protection principles

For Website visitors:

 

  • Lawful, fair and transparent: Our processing activities have a legal basis. We take your rights into account and offer information on processing upon request.
  • Limited to purpose: We process data only for the purpose for which it was collected.
  • Minimal data processing: We collect only the minimum required data.
  • Time limits: Your data will not be kept longer than necessary.

For Subscribers:

In case of conflicts between this privacy policy and the Customer Agreement, the Customer Agreement shall prevail. For specific questions on data processing in the workspace, please consult the Customer.

Unless otherwise required by law, Gfacility retains personal data only as long as necessary for the purposes for which it was collected.

Subscribers:

Your data will be kept for as long as necessary to fulfil the purposes set out in this policy, unless legislation or the Customer Agreement requires otherwise.

You have the right to access, correct, delete, object to processing and request data portability. Requests can be made in writing at [email protected].

Subscribers:

To exercise your rights under applicable law, contact your Workspace Administrator.

What data do we process?

Website visitors:
We collect data such as name, company name, e-mail address and IP address through contact forms, correspondence, and registrations for services.

Subscribers:

Data such as account information, workspace content and usage metadata are collected in accordance with the Customer Agreement.

Cookies

Necessary cookies:
These provide essential functions such as page navigation and secure access. Examples include:

1. __cf_bm (30 minutes of inactivity)
2. Prismapp-us1 (29 days)
3. FunctionalCookies (session-based).

Analytics and performance cookies::

These help us analyse the use and performance of our websites.
